What is the Difference Between a Function Room Booking and an Event Booking?

At first glance, Function Room Bookings and Event Bookings might seem very similar—but they are designed for different purposes. Understanding the difference will help you choose the right option for each booking.


Function Room Booking


A Function Room Booking is a reservation for a single function room.

Within the booking, you can:

  • Add notes.
  • Create tasks.
  • Build an itinerary.
  • Add menus.
  • Generate a Function Room Sheet when required.


This is a great option for simple, standalone room hires where you only need to manage one reservation.


Event Booking


An Event Booking is what we often call an umbrella booking. It acts as a central place to organise and manage everything related to an event.


You can link multiple reservations to a single Event Booking, including:

  • Function Room Reservations.
  • Bedroom or Group Reservations.
  • Table Reservations.


Instead of searching for each reservation individually, you can access them all from the Event Booking, making it much quicker and easier to manage the entire event.


Event Bookings also provide additional features, including:

  • Producing a single invoice for the whole event.
  • Settling the entire event with one click.
  • Creating tickets for ticketed events.


Which One Should I Use?


As a simple rule of thumb:

  • Use a Function Room Booking when you only need to book a single function room.
  • Use an Event Booking when you want to link two or more reservations together and manage them from one central location.


Don't worry if you create an Event Booking for a single function room hire—it will work perfectly well. However, if there are no additional reservations to link, a Function Room Booking is often the simpler choice.
