Experiences
Experiences are created and managed within Alacer Hospitality. A separate ‘how to’ video has been created which explains the process of creating a new experience from scratch.
New experiences can be created using the new experience button.
In the details section you will fill in the following fields:
- Name – The name of the experience. This is the guest facing title
- Area – The reporting area of the business
- Allow children and or infants – Does this experience allow children and infants to dine. Some experiences won’t be suitable for children or infants and this allows the site to be restrictive
- Price List – This is the price list that this experience is sold on
- Adult Price – First choose if the charge relates to an item or package, and make the relevant selection
- If Allow children is selected, Child Price works in the same way
- Start/End Date – The dates this experience is available to be booked in, which can be used to set up seasonal offers, for example, Christmas Lunch
- Min and Max Diners – the minimum and maximum number of diners available to book this experience. For example, a valentine’s day experience could be limited to a minimum and maximum of 2 adults.
- Max Available – The maximum number of this experience available for the session being booked. This can avoid experiences being over subscribed
- Show Allergen Sector – Determines whether to prompt for a list of allergens relevant to the experience when making a reservation
- Post Charge – Enabling this setting will post a charge to the tab for the date of the reservation
Policies:
- Deposit policy – can be applied to each experience to require the guest to pay a percentage or fixed amount deposit when booking
- Cancellation policy – can be applied to any experience to require the guest to adhere to the cancellation policy once a reservation has been made
- Terms and Conditions – a set of T&C’s can be chosen to apply to the experience
These policies can now be created and amended within Alacer Hospitality. Please see relevant notes for this.
Web Settings:
- Description – This is the full detailed description of the experience and will be visible to the guest whilst booking through the online booking engine
- Web Visible – is this experience available to be booked online
- Show charge on web – Do you want the per person price to show on the web booking engine
- Image – From here an image can be chosen to display on the web booking engine. This is uploaded from a local computer
Durations
This has been widely requested by our customer base and enables table turnaround times to be set by the number of covers and experience being booked.
Session
Sessions allows users to restrict which sessions and times the experience is available for. For example, breakfast experiences would only be available during the breakfast session.
Dietary Restrictions
Users can choose which dietary restrictions are applicable to the experience being booked by the guest. For example, if the experience is suitable for a guest following a vegan diet, choose that option at this point.
Required Equipment
Adding required equipment to the experience will ensure the listed equipment is available for the time slot the guest is booking.
Equipment can be set to apply to the overall experience, or adults, children, or infants.
Audit Log
The audit log tracks any changes made to the experience.
